This website does not use non-essential tracking cookies by default. This notice focuses on the information you choose to provide when making an enquiry.

Who is responsible for your information

The consultancy trades as RK Hospitality Systems. The confirmed legal entity and business address will be added to this notice when available.

Information collected through the enquiry form

The form asks for your name, business name, work email, optional telephone number, property type, number of rooms or units, booking platforms, operational problem and preferred contact method. Basic technical security logs may also be created by the website host.

Please do not include guest names, payment details, health information or other sensitive personal data in the enquiry.

Why the information is used

Enquiry information is used to understand your request, respond, arrange a call and consider whether RK Hospitality Systems can provide a relevant service. The usual lawful basis is taking steps at your request before a contract and, where appropriate, legitimate interests in managing genuine business enquiries.

Your details are not added to an unrelated marketing list and are not sold.

How long enquiries may be retained

Enquiries that do not become client projects may normally be kept for up to 24 months so the conversation can be followed up and previous context can be understood. Project and financial records may need to be kept for longer to meet contractual, tax or legal obligations. Information is deleted or anonymised when it is no longer reasonably needed.

Hosting, storage and email service providers

This website is hosted by Vercel. Enquiries submitted through the form are kept in private Vercel storage. If email notifications are enabled, the configured email delivery provider may also process the enquiry. These providers receive only the information needed to supply their service.

Your UK data protection rights

Depending on the circumstances, you may ask for access to your personal data, correction, deletion, restriction, objection or a portable copy. You may also complain to the UK Information Commissioner’s Office. Some rights are subject to legal limits and identity may need to be confirmed before a request is completed.
